Mail Merge Feature Review

by Deepak Kanakaraju on January 13, 2015 is a great email addon which has tons of features, but the one I like most is the mail merge feature. With mail merge, I can send customized emails to a lot of people and they are going to be the same as sending an email to each of them individually.

For example, if I have to send an interview request to 30 digital marketers, I need not manually send emails to all of them. Instead mail merge will do the heavy lifting for me.

All I have to do is organize all the contacts in a spreadsheet, download it in CSV format, upload it to Yesware and send the email.

In the CSV file, the first row should contain the placeholders.

For example, all the First names can be in the header, first. Company names can be in the header company. A custom message can be under the header info.

The header (first row) can be anything you want. Once you upload the CSV to Yesware, you can send a mail like this to all the recipients.

Hi {!first},

Hope you are doing good. I am contacting you because I would like to interview you and about the work you are doing in {!company}.


Thanks and have a nice day!


According to the information in the CSV file, the each email would go out something like this:

Hi Tim,

Hope you are doing good. I am contacting you because I would like to interview you and about the work you are doing in Apple Inc.

I watched your latest keynote speech at WWDC and it was great!

Thanks and have a nice day!


There is also an option to send a reply if the recipient doesn’t respond in X number of days. This is really great if you are expecting a reply from your contacts (which is most often the case). If someone has already replied, then Yesware will not send a follow up email.

High Open Rates

Yesware uses my email account to send the emails, the emails doesn’t go out from a server. 3-4 emails are sent every minute. Hence, it is as good as sending each mail manually.

The mails always reach the recipients inbox, as it is supposed to. It doesn’t go into any filters such as promotions or updates tab in Gmail accounts. I usually get 70-80% open rates when I send emails via


Yesware can track if the recipient has opened the mail or clicked on a link. You will get a browser notification when someone opens your email. This is helpful if you want to know when to contact your recipient.

If you call them immediately after they open your email, you are going to create a much bigger impact. Just don’t make them feel creepy 🙂

Enterprise Account

The mail merge feature is only available in enterprise accounts and at this time of writing, it costs $50 a month. There are a lot of other features that come along with the plan such as email tracking, reminders, templates etc.

The best part about this is that there is a fully functional free trial available which helps you learn and understand all the features of Yesware.

Try it and you will wonder why something like this didn’t exist before!

P.S. A word of warning. Do not use Yesware to send unsolicited email. Gmail and other email clients have sending limits and this kind of emailing works only on a limited scale. Send emails only to people who you know.

But tracking opens is not that important for me. I am more interested in Mail merge which helps me contact a lot of people with minimal effort.
